Enrollment Policy

REGISTRATION - The registration forms must be filled out completely in order to validate your child’s enrollment.  Please make sure the financial agreement is signed and filled out completely.  Your child’s enrollment will be secured upon receipt of the completed forms and one weeks tuition, which is non-refundable.

PAYMENTS - Payments are due the first day of care of each billing cycle (weekly, bi-weekly, monthly).  There will be a $5.00 per week charge for payments not made by Wednesday at 9:00am.  If payment gets more than two weeks behind we will have to fill your child’s spot.

HOURS OF OPERATION - Sprout Daycare is open from 8:00 am until 6:00 pm, Monday through Friday.

HOLIDAYS - We are closed the following paid legal holidays: New Year’s Day, President’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and Friday following after, two weeks paid vacation per year and 6 unpaid personal/sick days. If a holiday falls on the weekend, you will not be billed for those days. From Christmas Eve Day to the first of January 2011, we will be closed (tuition free). We will give you our intended schedule one month in advance.

ARRIVAL AND DEPARTURE -  A designated person responsible for the child must accompany the child into our home and sign the child in and out. Signing in is a STATE required step in our daily functions and you must comply with this rule.  If it is found that you are not signing your child in or out you could be dismissed from our program. Children are to arrive clean, dressed and fed (unless arriving just before a meal time). Please notify me before your scheduled drop-off time if your child will not be attending or will be arriving late. If we have not received a call notifying us that you will be late we will proceed with the day and assume you are not coming. If the opportunity arises to fill your time spot temporarily with a drop in child, you may not be allowed to drop your child off that day. Your normal rate fee still applies. We will not release any child to a person whose behavior or health appears to endanger the health or safety of the child. Anyone picking up your child will need to be prepared to show picture ID.

HEALTH FORMS - State regulations require that each child have a health form completed and signed by a physician and kept on file at the day care center.

DISMISSAL FORMS - Forms must be completed by parents designating people other than themselves to pick up their child. These people should not be offended if asked to show identification. Also, the parents should inform the teachers as to who will be picking the child up. Please keep these files as current as possible.

CHANGE OF CLOTHING - Each child must have a spare change of clothing (weather appropriate) at all times.

MEALS - We provide a nutritious breakfast, lunch, dinner and snacks during the day that is included. You do not need to bring your child snacks unless you want to. If you do, please label them so they do not get mixed up. If your child is allergic to anything please let us know and we will plan accordingly. Your child will be offered meals and snacks when they are present for meal-times. Please refer to our daily schedule for meal times. Children will not be forced to eat if they do not want to.

TOYS/CANDY- Do not bring more than one toy from home. The toy must not pose a choking hazard to younger children. Please do not send your child with small candy, gum or high sugar items. These types of items will not be given to them. We are not responsible for any lost items so bring them at your own risk.

SICK POLICY- In case of illness there will be no credit issued. When a child is dismissed because of a contagious illness, a 24 hour period after the start of medication is required before your child can return. Your child should remain at home until they are able to participate in normal activities. Child will not be accepted into care or will be sent home with the following symptoms; difficult or irregular breathing, rashes, itchy body or scalp, severe coughing, lice, pink eye, vomiting, diarrhea, a fever of 101 or above or any other symptom that may disrupt the rest of the group. If your child becomes ill during childcare hours we will call you to pick up your child and your child must be picked as soon as possible. All medications will need to have the child’s name clearly marked, as well as the dosage.

MEDICATION POLICY - All medications will need to have the child’s name clearly marked, as well as the dosage.  You will need to sign a medication form each day you bring medication for your child.

RETURNED CHECK FEE - You will be charged for any returned check on the basis of the current fee being charged by our bank at the time.  The minimum for this fee will be $35.00.  If we receive two or more returned checks all further payments will be required to be in cash.

EMERGENCIES - If your child is injured while in our care, you will be contacted at once.  In case of an extreme emergency, we will call emergency medical services to provide emergency care and transportation to a local hospital. Be sure to keep us informed of any changes in address, telephone number or people to contact in case of an emergency. In an event of a natural disaster, the following procedures will be followed:

  • Children will remain at the site until the parent, or an authorized adult, can pick them up.
  • In the event of a site evacuation, children will be taken to a relocation site.
  • The location of this site will be posted at the emergency exits.
  • Every effort will be made to contact parents if an evacuation is necessary.
  • Staff will remain with the children until they are picked up.

DISCIPLINE POLICY - Sprout Daycare is committed to the well being of each and every child.  In order to provide a safe, loving and stimulating environment, we expect a certain degree of cooperation from each child and parent.  Our means of disciplining unacceptable behavior on the part of a child is to separate the child form the rest of the group.  This is referred to as a “timeout” and is limited to 1 to 5 minutes in duration.  During this time, the child is kept under direct supervision and no snack or meal will be withheld from the child.  Under no circumstances will the child be mistreated.  If  ‘timeouts” become a regular routine and appear ineffective, we will need to discuss the situation.  If there is little or no improvement and the child’s behavior becomes a distraction to the rest of the group, termination of enrollment may be necessary.  Corporal punishment is not part of our program and will not be tolerated on the part of any staff member.

LICENSING - Authorized personnel from California Licensing Agency may visit our facility, unannounced, at any time during hours of operation.  The California Licensing Agency has the right to interview children or staff without permission or prior notification.

REASONS FOR DISMISSAL – The following are reasons that we would be inclined to dismiss your child from our daycare: Frequent delinquent or non-payments, on-going behavior problems that become disruptive to the other children, failure to pick up your sick child within a reasonable time, and/or frequent late pick-ups. I reserve the right to refuse service to anyone for any reason.

WITHDRAWAL - A four week written notice of withdrawal is required. If we are not provided with a written notice, 4 weeks of payment are due within one week of your last day of care.

ASSISTANCE PAYMENTS - Families receiving assistance for child care from any source are still legally liable for all fees due, co-pays and any amount owed not covered by assistance.

DROP-OFF CARE – Drop off care is available for those who only need child care every so often and may need it in a pinch. Payment is due the day care is given. Ratio for the number of children and ages are regulated, so we cannot guarantee an open spot if we are full. Please set aside at least one hour to go over policy and contract before you leave your child for the first time. Forms and contract must be signed before leaving child in our care. Please make sure to bring insurance information and immunization records.
